Where BillyBox wins

Business vs personal classification, not just a chart of accounts

SparkReceipt categorises every document into an accounting chart of accounts — a single business-side bucket aligned with QuickBooks / Xero category lists. That model fits a US-style bookkeeping workflow well. It does not fit the EU self-employed tax workflow, where personal spend isn't deductible and mixing personal and business on the same card or account is normal. BillyBox runs a binary classification first: business or personal. Only the business side flows into your accountant export. Personal stays in your archive but doesn't get counted against deductibles.

Email-invoice extraction depth vs general receipt OCR

BillyBox runs a dual-gate AI pipeline: an email-text gate filters non-invoice mail before any attachment work, then a document gate extracts a 14-field schema including due date, billing period start/end, vendor VAT number, vendor country, recurring-self-claim, next billing date, trial flag, and cancellation events. That's the kind of structured data a SaaS-heavy freelancer needs to track which subscription is auto-renewing and which is a one-off charge. SparkReceipt's extraction is optimised for the receipt category — vendor, amount, date, tax — which is the right call for their target use case but a shallower schema for recurring SaaS.

Bill grouping — invoice + receipt as one item

A SaaS payment usually generates two emails: the invoice and the payment-confirmation receipt. BillyBox auto-detects the pair and merges them under a shared bill group, so you classify the bill once instead of seeing two half-bills in your review queue. SparkReceipt treats each captured document independently, which is consistent with its receipt-scanning model.

Five-language localised UI

BillyBox ships a fully localised UI in English, Romanian, Italian, French, and German — labels, FAQ, error messages, accountant export. SparkReceipt's app UI runs in English; its AI handles document content in many languages, but the interface itself is single-language. If you want to invite your accountant or a partner into the tool in their native language, BillyBox covers five EU markets natively.

Monthly billing and a real free tier

BillyBox lets you pay monthly (Starter €9.99/mo, Pro €19.99/mo) and has a free plan that covers two full months — long enough to test the workflow against your actual inbox. SparkReceipt's Elite plan is annual-only at $199.98/yr, with no free tier described on its pricing page. For a solo operator who wants to try before committing for a full year, the trial gap is real.

Swipe-to-classify mobile UI (PWA, no install)

Both tools work on mobile, but the review experience differs. BillyBox's mobile UI is a swipe-stack served as a PWA: right for business, left for personal, down to ignore. No app store install — open billybox.app in your phone's browser, Add to Home Screen if you want an icon. SparkReceipt's native iOS / Android app is built around the capture flow (photograph the receipt, see it categorised). If the bottleneck for you is classifying a backlog at the end of the month rather than capturing receipts as they happen, the swipe-stack saves more time per session.

Direct push to QuickBooks Online and Xero

If your accountant runs your books in QuickBooks Online or Xero and wants every invoice pushed in directly, SparkReceipt does that today. BillyBox currently exports a ZIP + CSV that your accountant imports; live Xero / QB push is on our roadmap but not shipped. For US-based small businesses where QB is the default, SparkReceipt is the cleaner integration story.

Native Android app

SparkReceipt has a native Android app on Google Play alongside iOS. BillyBox is iOS-only at the time of writing. If Android is your daily-driver, SparkReceipt wins on platform coverage today.

Annual price + global market coverage

$16.65/mo billed annually ($199.98/yr) is meaningfully cheaper than BillyBox Pro (€19.99/mo) over a year. SparkReceipt also markets explicit support for 80+ countries and 150+ currencies, which is a fit if you operate cross-border across non-EU markets where BillyBox's localisation focus doesn't yet reach.

Bank-statement upload for reconciliation

SparkReceipt accepts bank-statement PDFs / CSVs / Excel files and matches them against captured receipts. BillyBox doesn't have built-in bank reconciliation yet (it's on the roadmap). For users who want to close the loop between "what was charged" and "which receipt covers it" inside one tool, SparkReceipt has that today.
