How to get your PayPal invoices and statements

Steps last checked:

PayPal is how you paid, not who sold to you, so the invoice comes from the seller. What PayPal gives you is the record of the payment: the payment’s details in Activity, monthly statements, and activity reports for up to seven years.

Download PayPal records by hand

  1. Find one payment

On the web, open your Activity page. It lists the recipient, date and amount of each payment; select a payment to see its details.

  2. Download a monthly statement

Go to paypal.com/reports/accountStatements, click Request next to the month, and click Download when the statement is ready.

  3. Or download an activity report

Go to History (your activity), click the Download icon, then Custom. Choose the report, follow the prompts and click Download when it is ready. A report can cover up to 12 months at a time.

  • Activity reports go back up to seven years, as PDF, Quicken, QuickBooks, CSV or TAB files.
  • A large report can take up to five business days to generate; PayPal emails you when it is ready to download.
  • For the invoice itself (with the seller’s VAT details), look for the seller’s own email or account page.

What arrives by email

Whether you get an invoice by email depends on the seller. PayPal’s help page mentions one email of its own here: the notice that a large activity report is ready to download.

Let BillyBox collect them

BillyBox connects to Gmail, Outlook or any IMAP inbox and looks through your mail for invoices and receipts. It saves attached PDFs, turns receipts written into the email body into a PDF, and reads the vendor, amount and date for you.

For purchases paid with PayPal, the useful document is usually the seller’s invoice email, which BillyBox collects like any other. PayPal’s statements and reports you download from PayPal and keep alongside.
